Role Overview The Client Services Lead is a leadership position responsible for managing and developing the Client Services team—the front line of the NW Legacy Law client experience. From the first phone call, the Client Services team introduces potential clients to the firm’s culture and process, builds rapport through thoughtful discovery conversations, and books consultations with our attorneys. This role ensures that every prospective client interaction reflects our purpose of helping people “Live Their Legacy.” Beyond day-to-day team management, the Client Services Lead will own KPI reporting and dashboard development, drive continuous improvement of the client intake pipeline, and bring a sales-minded perspective to consultation booking and conversion. This person will work closely with firm leadership to execute strategic initiatives including CRM implementation, lead attribution tracking, and automated scheduling. Key Responsibilities Team Leadership and Development • Manage, coach, and develop Client Services team members, setting clear expectations and providing regular feedback aligned with the firm’s values • Conduct one-on-one meetings, performance evaluations, and development planning for direct reports • Lead team meetings focused on process improvement, pipeline review, and skill development • Foster a culture of accountability, collaboration, and emotional intelligence within the team • Support hiring and onboarding of new Client Services team members as the firm grows Sales and Client Conversion • Oversee the full client intake funnel from initial inquiry through consultation booking, ensuring high conversion rates and a consistent client experience • Train and coach team members on consultative sales techniques, active listening, and objection handling • Monitor consultation booking rates and implement strategies to improve pipeline throughput • Collaborate with firm leadership on lead generation initiatives and referral source development • Ensure the team delivers a warm, values-driven first impression that differentiates NW Legacy Law from other firms KPI Reporting and Dashboard Management • Build, maintain, and continuously improve KPI dashboards that track client services performance, consultation volumes, conversion rates, and lead attribution • Automate data collection and reporting workflows to reduce manual tracking • Present weekly and monthly performance reports to firm leadership with actionable insights and recommendations • Identify trends and proactively flag areas requiring attention or strategic adjustment Remote Team Management • Apply experience managing remote or multi-office teams to maintain engagement, communication cadence, and consistent performance standards across locations • Leverage project management and communication tools (e.g., Asana, Microsoft Teams, video conferencing) to keep distributed team members aligned and informed • Establish and document standard operating procedures for cross-location workflows, scheduling, and coverage coordination • This role may expand to include oversight of Client Services teams in additional office locations as the firm grows Outreach and Engagement • Build and nurture referral relationships with attorneys, financial advisors, and other professional partners to expand the firms network and drive qualified inquiry volume • Represent NW Legacy Law at community events, networking functions, and professional association meetings to increase brand visibility and position the firm as the trusted estate planning resource in the region • Develop and execute follow-up campaigns for unconverted leads and past inquiries, re-engaging prospective clients through personalized outreach that reflects the firms values-driven approach Process Improvement and Technology • Partner with leadership on CRM evaluation, selection, and implementation to streamline client tracking and follow-up • Help define and implement automated scheduling workflows for consultations • Contribute to lead attribution tracking to identify which marketing channels drive the highest-quality inquiries • Continuously refine intake scripts, qualification frameworks, and follow-up sequences Required Qualifications • 3+ years of experience managing or leading a client-facing or sales team • Demonstrated success in a sales, business development, or client services leadership role, with measurable outcomes (e.g., conversion improvements, revenue growth, or client satisfaction gains) • Proven experience managing remote teams, distributed staff, or personnel across multiple office locations, including setting expectations, maintaining accountability, and fostering team cohesion • Hands-on experience building KPI dashboards and performance reports using tools such as Excel, Google Sheets, or business intelligence platforms • Strong analytical skills with the ability to translate data into actionable insights and present findings to leadership • Excellent verbal and written communication skills, with a consultative and empathetic approach • Proficiency with CRM systems, project management tools (e.g., Asana, Monday, Trello), and standard office technology • High emotional intelligence and a genuine commitment to team development and personal growth Preferred Qualifications • Experience in a professional services environment (legal, financial, or advisory firms) • Background in estate planning, probate, or related legal services • Experience with CRM implementation or migration projects • Familiarity with marketing lead attribution and funnel analytics • Training or certification in sales methodology (e.g., consultative selling, Sandler, SPIN) • Experience working within a values-driven or purpose-oriented organization Compensation and Benefits NW Legacy Law offers a comprehensive benefits package designed to support the whole person: Salary $68,000 - While the role itself is not remote, prior experience managing remote or multi-location teams is essential, as the firm may have distributed team members or expand to additional locations.
